• You can edit any nominations that have not yet been approved or rejected. You can add fandoms, characters and relationships at any time, as long as you still have space for them.

Use this post for any queries and also to let me know about anything that needs fixing in the tag set, eg typos, characters or relationships in there twice.

Here's the information about nominating

The Doctor Who and Related Fandoms Festivities Exchange is back for another year! Dates are below. This year has less time for nominations as we'll be using last year's tag set and just adding to it.

All of the links and information has been updated for this year. There are a few changes:

• All of the rules, FAQ and other information are now only on AO3, but are linked to from Dreamwidth and Tumblr


• There is a general email address for all queries


• There is a Google Form for extension requests

Nominations open: Saturday 21st September
Nominations close: Wednesday 25th September
Sign ups open: Saturday 28th October
Sign ups close: Saturday 5th October
Assignments out: Wednesday 9th October latest
Assignments due: Saturday 16th November
Works revealed: Saturday 23rd November

All the works have been revealed! There are 18 works in 4 fandoms.

You may want to change the date of your work to be today's date. That way it will be on the first page for the fandom - otherwise people looking at the fandom page might not see it if they've gone as far back as the date they last checked. To change the date, click on the Edit button. Halfway down the page will be an option to 'Set a different publication date'. Select the box and then change the date. It will let you change it to any date in the present or past, but not in the future.

The deadline has passed. Anyone who hasn't posted their assignment, asked for an extension or defaulted themselves has been defaulted. If you think that's an error on my part, please get in touch.

Any pinch hits will be posted in around 12 hours time.

It's a week until the deadline (almost exactly to the hour). Here's a countdown. You can also see the deadline in your time zone at the top of the profile page of the collection.

By that time you should have done one of three things:

1. Posted your assignment to the collection (a draft doesn't count)



2. Asked for an extension (at the contact post or using the email listed on the contact post). Extensions won't be given past 21st November 7pm UTC.



3. Pressed the default button

If you don't do any of those things you will be banned from next year's exchange. There is no penalty for defaulting before the deadline.

You can still edit your assignment after the deadline, but what you upload should be something you're happy to give to your recipient, in case something happens to you/your computer/your internet/AO3.

The easiest way to post your assignment or to default is to go to either go to the AO3 collection, then My Assignment, or go to your account and My Assignments and find it on the page. Both offer two buttons Fulfill and Default.

Posting
If you click Fulfill it will take you to a new work page and it will fill in the collection for you. It will look like it's not filled in your recipient under the 'Gift this work to' option, but it is there and you do not have to fill it in.

Once you click post there will be a couple of blue boxes at the top with information. The collection is moderated, so one of the boxes tells you that your work will not show up until it's been approved. If you want to edit it before it's approved, you'll need to go to your Statistics page (it isn't in the dropdown at the top of your page, you need to be on one of your account pages to see the link to it). It will be on that page.

If you are unsure if you've done everything right, then don't post your work, save it as a draft. If the blue box at the top of the page says you've submitted it to the right collection, and your recipient is filled in, then it's all okay. However, although it's technically correct that you have submitted your work, only you can see drafts. You will need to post your work for me to approve it.

I will be approving works more often closer to the deadline. If your work is posted (not in draft form) and in the queue waiting to be approved by the deadline, then that means it's in on time.

Defaulting
If you instead you click on the Default button this will list you as defaulted. It's as easy as that. You do not need to give a reason.

Extensions
If you think you won't be able to get your work in by the deadline, then you can ask for an extension, either by commenting at the contact post or using the email address listed there. Your request must include when you'll be able to post your work. Since there's not much time between the deadline and works being revealed, extensions will only be given for 48 hours after the deadline.

Treating
If you are posting treats, then the easiest way to do that is to go to the AO3 collection and click Post to Collection. This will fill in the collection details for you.

If you want a better way to see everyone's request when deciding what treats to write/draw then the Auto AO3 App will show you all requests by Fandom, as default. You can also choose to view by character or Freeform (Fic or Art). Or use the search tab to narrow things down even more. You can bookmark individual requests, although you can only see what you've bookmarked if you're in the same browser on the same computer and haven't cleared your cookies.

Sign ups close at 10am UTC Sunday. Here is a countdown

It's a good idea to check your offers against the requests and make sure there's at least one person you can write for. If there isn't anyone you can write for when sign ups close you'll need to update your offers or delete your sign up.

It turns out the box to say if you want fic or art is not on the form. It won’t let me tick it now there are sign ups, so I will need to look into it more after work when I have some time and am not on mobile.

Nominations are now closed. You can see the tag set at https://archiveofourown.org/tag_sets/17014. We have 319 characters/relationships in 15 fandoms, with Classic Who narrowly edging out New Who with 87 characters/relationships to 73.

If there are any problems with it (eg typos, duplicates) then comment here. Also if you want to nominate but have missed the deadline, you can also comment here and I will add it, as long as it's before sign ups open.

Sign ups open in 48 hours (although if the tag set seems fine I may open them a few hours early).
